Location Goals and Scorecards: How to Set Targets Every Site Can Hit

Once you track operations KPIs, the next question is obvious: what number is good enough? Without a target, a dashboard tells you what happened. With one, it tells you whether that's a problem.

Location goals and scorecards turn KPIs into targets each site owns. This guide covers how to choose them, set them fairly, and review them in a way that leads to action.

Goals vs KPIs

A KPI is a measure: checklist pass rate, quality score, overdue tasks. A goal is a KPI plus a target, a period and an owner:

A scorecard shows a set of goals with the actual value next to the target, and a status.

Step 1: Pick a few goals per location

Choose goals that a location manager can actually influence. Good candidates:

  • Checklist pass rate — are routines being done right?
  • Quality score from inspections and audits
  • On-time completion of tasks
  • Overdue open tasks
  • Waste at cost or count variance for stock-heavy sites

Three to five goals per location is plenty. More than that and none of them gets attention.

Step 2: Set targets from your own history

Base targets on what your locations have actually achieved, not on a number from somewhere else. Look at each site's recent results and set a target that's a realistic step up for that site. Sharing the same target across sites is fine for standards (food safety, safety audits) — less so for things that depend on size or trading pattern.

Step 3: Choose the right level and period

  • Company goals for things everyone shares.
  • Location goals for site performance.
  • Department goals for task metrics owned by a team.

Pick a period that matches how fast the number moves: weekly for task completion, monthly for quality scores, quarterly for slower measures.

Step 4: Define on track, at risk and off track

Write the rule down and show it on every scorecard. For example:

  • On track — at or better than the target.
  • At risk — close to it, within an agreed margin.
  • Off track — further away.

For running totals (tasks completed, inspections submitted), compare against the target pro-rated for the part of the period that has passed — halfway through the month, you should be about halfway there.

Step 5: Use real data — and be honest about manual numbers

The strength of a scorecard is that nobody argues with the data. Pull numbers from the systems where work is recorded. Where you need a number your systems don't track, enter it manually — but record who entered it and when, and don't allow it to be edited afterwards.

Step 6: Run a monthly review

A short monthly review per location keeps goals alive:

  1. Look at the scorecard — what's off track or at risk?
  2. Ask why, using the underlying data (which checklist items fail, which tasks run late).
  3. Agree one or two actions, with owners.
  4. Check last month's actions.

Location goals checklist

  • Three to five goals per location, each with an owner
  • Targets based on each site's own history
  • Level (company, location, department) and period chosen
  • On track / at risk / off track rule written on the scorecard
  • Running totals pro-rated for the period elapsed
  • Manual numbers show who entered them and when
  • Monthly review with agreed actions

Goals and scorecards in Cayro Insights

Goals are included with Cayro Insights at no extra cost:

  • Goals on any operational metric you have — at company, department (task metrics) or location level — weekly, monthly or quarterly, with an owner.
  • Scorecards with actual versus target and the on-track / at-risk / off-track rule in words.
  • Numbers from the same permission-checked analytics as the rest of Insights. The only typed-in numbers are manual-entry metrics, and each value shows who entered it and when.

For a side-by-side view of every site, the Multi-Location reports (with the Multi-Location add-on, $29/month) compare tasks, overdue work, checklist pass rate, quality score, incidents, labor hours and stock value.

Targets every site can see

Goals work when each location knows what good looks like, sees how it's doing, and talks about it regularly. Keep them few, fair and based on real data.
