Salon Operations Checklist: Sanitation, Stock, Scheduling and Client Follow-Ups
A salon operations checklist for daily sanitation, product stock, staff scheduling and client follow-ups, for one location or several.

Clients come back to a salon for the stylist. But they stay because of everything around the appointment: a clean station, the product they love in stock, an appointment that starts on time and a follow-up that makes them feel remembered.
That's the operations side of the business — and it's the part that's easiest to let slip when the book is full.
This guide gives you a practical salon operations checklist across four areas: sanitation, stock, scheduling and client follow-ups.
1. Daily sanitation checklist
Clean tools and stations protect your clients, your team and your license. Always follow your state or local board's sanitation rules — use this list as a starting framework and adjust it to your requirements.
Opening
- Clean and disinfect all stations, chairs and armrests
- Check disinfectant solution is fresh and mixed correctly; log the change if required
- Confirm clean tools are stored in closed, labeled containers
- Wash and dry shampoo bowls; check drains
- Restock clean towels and capes
- Clean and stock restrooms
- Wipe reception desk, retail shelves and door handles
Between every client
- Remove hair and debris from the station and floor
- Clean and disinfect used tools, or move them to the "dirty" container
- Wipe down chair, armrests and work surfaces
- Replace towel, cape and neck strip
Closing
- Clean and disinfect all tools used during the day
- Launder towels and capes
- Sweep and mop all floors
- Empty trash and clean bins
- Clean color bar and mixing area
- Turn off hot tools, dryers and equipment
Make it trackable. A digital checklist records who completed each item and when — useful for accountability and if you're ever asked to show your sanitation routine. Cayro Ops runs daily checklists with due times and completion history for every location.
2. Product stock checklist
Running out of the color line you use most, or the retail product your regulars always buy, costs you both services and sales.
- Track back-bar (professional use) and retail stock separately
- Count high-use items (color, developer, shampoo, conditioner) weekly
- Count retail stock monthly, and fast sellers more often
- Set a reorder point for each key product
- Use purchase orders when ordering from suppliers
- Check deliveries against the order before shelving
- Record damaged, expired or used-for-testing items
If you run more than one location, you can often move product between sites instead of placing a rush order. Cayro Inventory tracks stock per location with counts, transfers, suppliers and purchase orders. (For more detail, see our guide to multi-location inventory management.)
3. Staff scheduling checklist
A salon schedule has to balance stylist availability, client demand and front-desk coverage — without burning anyone out.
- Collect each team member's availability before building the schedule
- Build the schedule around your busiest days and times
- Make sure the front desk is covered from open to close
- Have a clear process for requesting time off
- Check for conflicts — overlapping shifts, or someone scheduled on a requested day off
- Publish the schedule with enough notice for your team
- Have a plan for covering last-minute absences
Cayro Workforce handles the staff directory, shift scheduling, availability and time off, with conflict detection built in — so you catch problems before the schedule goes out.
4. Client follow-up checklist
The follow-up is where good salons become great ones. A quick message after a big color change or a reminder when it's time for a trim builds loyalty and rebooking.
- Keep a profile for every client: services, formulas, preferences and notes
- Follow up after major services (color corrections, big cuts, treatments)
- Reach out to clients who haven't rebooked in their usual window
- Note product recommendations so the next visit can build on them
- Send follow-ups from the stylist the client knows
- Track follow-ups so none get forgotten
The challenge is making sure follow-ups actually happen. In Cayro Connect, customer profiles, pipelines and follow-ups live in one place, and client follow-ups become tasks for the right stylist — so they show up in their to-do list, not in someone's memory.
Bringing it all together
Sanitation, stock, scheduling and follow-ups often live in four different places: a paper log, a stock spreadsheet, a scheduling app and a stylist's phone. That works — until you grow, add a location, or a key person is out sick.
Running them on one platform means:
- One login for each team member, with access to only what they need.
- One view of every location, if you have more than one.
- Automations that connect the dots. With Cayro Flow, you could draft a reorder purchase order when a product drops below its reorder point, or alert the manager if the closing sanitation checklist task goes overdue.
- Dashboards in Cayro Insights that show checklist pass rates, task completion and stock levels side by side.
That's the idea behind a business operating system: every part of the operation running on one shared foundation.
