How to stop shift double-booking

Cayro · November 2, 2026

Double-booking, when one person is scheduled in two places at once or on a day they asked off, usually isn't one manager's mistake. It's what happens when schedules, availability and time-off requests live in different places. Here's how to stop it.

Why it happens

  • Several schedules. Each location or department keeps its own spreadsheet, so nobody sees the whole week for a person who works across two.
  • Availability in someone's head. "Priya can't do Tuesdays" is known by one manager and nobody else.
  • Time off approved in a text message, then forgotten when the schedule is built.
  • Informal swaps. Two people trade shifts between themselves and the schedule never changes.

Step 1: Keep one schedule per person

Whatever tool you use, every shift for a person should live in one place, across every location they work. If a manager at one site can't see a person's shifts at another, double-booking is only a matter of time.

Step 2: Collect availability before you build

Ask everyone to record when they can and can't work, and keep it up to date. Build the schedule from availability, not the other way round.

Step 3: Make time off a request, not a conversation

Time-off requests should be written down and approved or declined in one place, and approved time off should block those days on the schedule automatically.

Step 4: Check before you publish

Before the schedule goes out, check for:

  • the same person on overlapping shifts,
  • shifts during approved time off,
  • shifts outside someone's availability,
  • too little rest between a closing shift and the next opening.

Doing this by eye works for five people. Past that, let software do the checking.

Step 5: Route swaps through a manager

Swaps and drops are fine, as long as the schedule changes too. Let staff request a swap or a drop, and have a manager approve it so the published schedule stays true.

Step 6: Reuse what works

Most weeks look like last week. Start from last week's schedule and adjust, instead of rebuilding from scratch, and you'll make fewer mistakes.

How Cayro helps

Cayro Workforce keeps every person's shifts in one schedule across locations. Team members record their availability and request time off; managers build shifts in day, week or month views, and double-booking is blocked while availability and rest conflicts are flagged. You can copy last week's schedule in one click, and drop, cover and swap requests go to a manager for approval. Everyone gets a personal "My schedule" page.
